General Information | MA and MFA Students | PhD Scholastic Residence | PhD Advanced & Extended Residence | Pass/Fail | Audits | Language Exams | Add / Drop Period | Summer Registration |
In autumn, registration for Humanities graduate students is held the week before the quarter begins. In winter, spring, and summer, registration is held during the eighth week of the prior quarter. Students should register Monday through Thursday, with Friday reserved for special cases. The faculty & staff calendar, as well as the student calendar, lists registration deadlines for the full academic year.
Advising procedures vary by department. Department coordinators are responsible for communicating advising procedures to their students. All students require department approval to register, regardless of whether they are enrolling in courses.
Course offerings are published every quarter in the University's Time Schedules. Department websites list course descriptions.
Entering students who have not yet submitted a final transcript to the Dean of Students will be restricted from autumn quarter registration. Students will be notified of the restriction by e-mail.
All students, including those in Advanced (typically years 5-12) and Extended Residence (years 13+), are responsible for checking their cMore (cmore.uchicago.edu) accounts for restrictions (Bursar, Library, Student Loan Administration, Real Estate Operations, Immunization, Office of International Affairs, etc.) before registration. A student cannot register until all restrictions are cleared.
A $100 late registration fee is assessed to any masters or doctoral student who is required to register but does not do so by the end of the registration period. This includes MA, MFA, Scholastic (typically years 1-4), Advanced (typically years 5-12), and Extended Residence (years 13+) students, as well as students in Pro Forma status.
A $150 late registration fee is assessed for failing to register by Friday of week three of the quarter.
A $250 continuous registration penalty fee is assessed for students in Advanced (typically years 5-12) or Extended Residence (years 13+) who do not clear restrictions by the end of the fifth week of the quarter.
A $250 late registration fee late is assessed for late registration for a prior quarter.
Any student who fails to clear all restrictions and officially register by the end of that same quarter will be administratively withdrawn from the University.
Full-time students register for three courses per quarter (300 units). International students must register for 300 units.
MA and MFA students should not register for more than 300 units. MA and MFA students should not register to audit courses.
Financial aid may need to be adjusted for students taking less than three courses. These students should register with Miranda Swanson or Louis Arata in Walker 111. Students with loans who plan to move from full- to half-time or less should contact the Student Loan Administration before a change of status.
Master's students are charged by the course. After the first week of the quarter only partial, if any, tuition charges will be refunded. The Bursar's Office publishes the University's tuition refund schedule.
Scholastic Residence students should pick up their printed registration forms from their departments. The students should meet with an adviser. They should check the on-line Time Schedules to make sure that they have written down the correct course numbers. They should check cMore (cmore.uchicago.edu) to make sure all restrictions are cleared. Then, each student should bring his or her SIGNED registration form to Walker 111.
Departments will be given a list of Advanced and Extended Residence students by the Dean of Students Office. The list should be checked for accuracy. It may also be used by the department as a means to "check in" with students. Department administrators should make any appropriate notes on the form, have the form SIGNED by the appropriate department official (e.g., DGS, Chair), and return it to Walker 111 by 4:00 p.m. on Friday of Registration week.
PhD Advanced Residence students wishing to take courses or language exams should pick up a blank registration form from their department or Walker 111. After filling out the form, students should get a signature from their adviser or department administrator. Then, they should bring their SIGNED registration forms to Walker 111.
Pass/Fail is not a registration status. Students arrange pass/fail with their instructors.
If a student is certain s/he wants to take a course as audit, place a check mark in the Audit column on the registration form. If s/he is uncertain, s/he should enroll in the course for credit. Later, the instructor can submit an "R" as the grade for the course (and the Registrar will then change the course status to audit). Changing a course from audit to credit after Friday of week three results in a Late Change Fee.
Students must register to take a University graduate foreign language reading examination. The codes for these exams are listed in the Time Schedules under "Language Reading Exam." The exam fee is $70. An additional $30 is assessed for each language reading exam added after Friday of third week. No refund of the exam fee is issued for exams dropped after Friday of third week. Students are notified of exam results through department administrators. Department Administrators are notified of exam results by the Dean of Students office. Results are also posted in cMore with other current quarter grades. Only grades of Pass (P) or High Pass (P*) become part of a student's permanent transcript. The Office of the Vice President and Dean of Students in the University administers the language examinations, describes the format of the examinations, and includes a list of previous exams that can be useful for timed practice.
All changes of registration are made through the Dean of Students office. Forms are available in department offices and Walker 111.
In autumn, winter, and spring, the period to add/drop courses, add/drop language reading examinations, and change registration statuses to or from an audit is the first three weeks of the quarter. In summer, the add/drop schedule varies based on the length of the course. In autumn, winter, and spring, students may not add/drop before the quarter begins.
All students need department/adviser approval (i.e., signature) on their add/drop forms.
Courses dropped after the add/drop period has ended are noted on the student transcript with a grade of "W".
A late change fee ($50 for the current quarter and $150 for a prior quarter) is assessed for any enrollment change processed after the add/drop period has ended. There is no refund of the language exam fee ($70) for exams dropped after the third week of the quarter.
PLEASE REMIND YOUR STUDENTS TO CHECK http://cmore.uchicago.edu BEFORE THE END OF THE ADD/DROP PERIOD TO MAKE SURE THEY ARE REGISTERED FOR THE CORRECT COURSES, SECTIONS, AND AUDITS.
Summer registration runs Monday of eighth week of spring quarter through the first day of summer quarter. In addition to registration, students may change enrollments (add/drop) anytime during this period. Students are encouraged to finalize their schedules before summer quarter begins. Before registering, students on fellowship should check with the Dean of Students office to be sure their fellowship covers summer tuition. Most fellowships do not cover required fees.
Doctoral students who register for summer quarter, regardless of whether they enroll for courses, will be charged tuition (based on their residence status) and the health and wellness fee. Students who live more than 100 miles from campus in summer quarter may petition the Dean of Students to have the health and wellness fee waived. The graduate student activity fee is assessed only for students enrolled in a course.
Students who receive summer student loans are required to register for summer quarter. Students who receive summer work-study money are not required to register. Please direct questions regarding summer student loans and/or the federal work-study program to the Student Loan Administration.
Students who apply to receive a PhD in summer quarter are required to register and pay the associated tuition and fees. MA students who have completed all required course enrollments in previous quarters are not required to register in order to receive their degree in summer quarter.
